Spartan Glazing Inc (BC Incorporation Number BC1460956), referred to in this document as “Spartan Glazing”, “we”, “us”, or “our”, respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you visit www.spartanglazing.ca (the “Site”), submit a quote request, upload or send project materials, or otherwise communicate with us.
This Policy is intended to address applicable obligations under the British Columbia Personal Information Protection Act (PIPA), the federal Personal Information Protection and Electronic Documents Act (PIPEDA), and Canada’s Anti-Spam Legislation (CASL), where applicable.
1. Who this Policy applies to
This Policy applies to individuals who interact with our Site, request a quote, contact us by phone or email, submit project information, or otherwise share personal information with us.
It applies to personal information collected through the Site as well as information collected offline in connection with our glazing services.
2. What personal information we collect
We collect only the personal information that is reasonably necessary for the purposes described in this Policy.
Information you provide to us may include:
- Identity and contact information: full name, email address, phone number, company name, and project address.
- Project information: details about the glazing work you are requesting, including service type, project location, building type, dimensions, photos, drawings, plans, specifications, preferences, timelines, and special requirements.
- Communication content: the content of emails, calls, messages, forms, uploaded files, and documents you send to us.
- Business information: where applicable, the name of your organization, your role, project stakeholders, contractors, consultants, or other project contacts.
Information collected automatically may include:
- Technical data: IP address, browser type and version, operating system, device identifiers, approximate location, time zone, and language preferences.
- Usage data: pages visited, time spent on each page, links clicked, referring website, and similar analytics information.
- Cookies and similar technologies: see Section 7 and our Cookie Notice for details.
We do not knowingly collect sensitive personal information such as health information, financial account details, government-issued identification numbers, or similar sensitive data through our Site. Please do not submit such information through the contact or quote forms unless specifically requested through a secure and appropriate channel.
3. Project materials submitted by you
If you submit photos, drawings, plans, specifications, measurements, documents, or other project-related materials, you confirm that you have the right to provide those materials to us.
We will use those materials only for purposes reasonably connected to evaluating, quoting, planning, performing, documenting, supporting, or following up on the requested services, unless we obtain your separate consent for another use.
We do not claim ownership of project materials you provide to us. However, you grant us permission to use, store, review, and share those materials as reasonably necessary for the purposes described in this Policy.
4. How we use your personal information
We use your personal information for the following purposes:
- To respond to quote requests and provide preliminary cost estimates.
- To assess project requirements and determine whether we can provide the requested services.
- To schedule site visits, measurements, consultations, installations, and follow-ups.
- To communicate with you about your project, including scheduling, changes, invoicing, warranty matters, service issues, and post-installation support.
- To coordinate with subcontractors, suppliers, general contractors, consultants, or project partners where reasonably necessary.
- To improve our Site, services, operations, and customer experience.
- To analyze aggregated website performance and visitor behaviour.
- To send commercial electronic messages, such as updates, newsletters, or promotions, only where we have consent or are otherwise permitted to do so under CASL.
- To comply with legal, tax, accounting, insurance, regulatory, and contractual obligations.
- To protect our business, legal rights, property, safety, and security, including preventing fraud, abuse, or unauthorized access.
If we wish to use your personal information for a new purpose not listed above, we will obtain your consent unless the use is otherwise permitted or required by law.
5. Consent
Under applicable privacy laws, we rely on your consent, either express or implied depending on the circumstances and the sensitivity of the information, to collect, use, and disclose your personal information.
By submitting a quote request, contacting us, uploading project materials, or otherwise providing information to us, you consent to the collection, use, and disclosure of your personal information as described in this Policy.
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. To withdraw consent, contact our Privacy Officer using the contact details in Section 14. Withdrawing consent may limit our ability to provide certain services to you.
6. Disclosure to third parties
We do not sell, rent, or trade your personal information.
We may disclose personal information only where reasonably necessary and only to the extent required for the relevant purpose, including to:
- Service providers: companies that provide website hosting, email, analytics, form processing, IT support, cloud storage, advertising, marketing, payment, or communications services.
- Subcontractors and project partners: where a project requires specialized work, materials, measurements, access coordination, engineering review, installation support, or related services.
- Suppliers and manufacturers: where required for product selection, ordering, warranty support, or technical project review.
- General contractors, consultants, or property representatives: where necessary for coordination of a construction, renovation, or glazing project.
- Legal, insurance, accounting, or professional advisors: where necessary for business operations, compliance, claims, disputes, or risk management.
- Legal authorities: where required by law, court order, regulatory process, or to protect our legal rights, the safety of any person, or to prevent fraud.
- Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business, provided that the recipient is required to protect the information in accordance with applicable law.
Our current service providers may include website hosting providers, web analytics providers such as Google Analytics 4 by Google LLC, email and communications platforms, form processing tools, and other technical service providers. These providers may change from time to time as our operations evolve.
7. Cross-border processing and storage
Some of our service providers may be located outside British Columbia or Canada, including in the United States or other jurisdictions. As a result, personal information may be stored, processed, or accessed outside Canada.
When information is transferred outside British Columbia or Canada, it may be subject to the laws of those jurisdictions, including lawful access by foreign courts, law enforcement, or government authorities.
We take reasonable contractual, technical, and organizational steps to ensure that service providers receiving personal information protect it in a manner appropriate to the sensitivity of the information and consistent with applicable privacy requirements.
8. Cookies, analytics, and tracking technologies
Our Site may use cookies and similar technologies, including web beacons, tracking pixels, local storage, and analytics tools, to operate the Site, improve performance, understand visitor behaviour, and, where applicable, support advertising or remarketing.

9. Commercial electronic messages under CASL
If you opt in to receive newsletters, promotions, project updates, or other commercial electronic messages from us, or if we are otherwise permitted to contact you under CASL, we will send those communications in accordance with applicable law.
Commercial electronic messages we send will:
- Identify Spartan Glazing as the sender.
- Include our contact information.
- Include a clear unsubscribe mechanism where required.
- Be sent only where we have express consent, implied consent, or another lawful basis under CASL.
You may unsubscribe at any time by using the unsubscribe link included in our commercial messages or by contacting our Privacy Officer. We will process unsubscribe requests within the time required by law.
10. Retention of personal information
We retain personal information only as long as reasonably necessary to fulfill the purposes for which it was collected, or as required for legal, tax, accounting, insurance, reporting, warranty, or business purposes.
As a general guideline:
- Quote requests that do not result in a contract may be retained for up to 24 months.
- Project records, including contracts, invoices, warranty information, project communications, and related documents, may be retained for at least seven (7) years or longer where required for legal, accounting, insurance, warranty, or dispute purposes.
- Newsletter or marketing subscription information is retained until you unsubscribe, plus a reasonable period to demonstrate compliance with CASL.
- Website analytics data is retained according to the settings of the applicable analytics platform, typically up to 14 months unless otherwise configured.
When personal information is no longer required, we will securely delete, destroy, erase, or anonymize it.
11. Safeguards
We use reasonable administrative, physical, and technical safeguards appropriate to the sensitivity of the personal information we handle.
These may include:
- Encrypted connections for the Site where available.
- Access controls limiting access to employees, contractors, and service providers who need the information to perform their duties.
- Confidentiality obligations for employees, contractors, and service providers.
- Secure storage and transmission practices where appropriate.
- Periodic review of our privacy and security practices.
No method of transmission over the Internet or electronic storage is completely secure. While we use commercially reasonable safeguards, we cannot guarantee absolute security.

We will respond to written access or correction requests within the time required by applicable law. We may request information to verify your identity before responding.
13. Children’s privacy
Our Site and services are intended for adults and business users. We do not knowingly collect personal information from individuals under the age of majority in British Columbia, which is 19 years. If you believe we have collected personal information from a minor, please contact our Privacy Officer so we can take appropriate steps.

15. Changes to this Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, services, technologies, or applicable law.
The “Last updated” date at the top of this Policy indicates when it was last revised. Material changes may be communicated through a notice on the Site or by email where appropriate.
Your continued use of the Site after changes are posted means you accept the updated Policy, where permitted by applicable law.
